Rijndam Revalidatie is with it many locations the largest revalidation centre in the Netherlands. In order to be able to move with the patient’s requirements, to work efficiently and effectively and to concentrate on its core tasks: providing care, the organisation chose a phased transition to a digital file; the revalidation EPD (R-EPD). I-FourC talks to Rajen Bhattoe, Project Manager at Rijndam Revalidatie, who explains in detail how they handle the transition to an integrated R-EPD.

The past, present and future in one environment

Rajen Bhattoe recounts the start of the project: “Rijndam Revalidatie has been using Ecaris from VIR since our very existence. Besides Ecaris we are now working on rolling out the REPD within our organisation. These two systems are connected to each other, so that planning data and contact details are linked. Still this was not complete. The “paper-past” also had to be put into our digital information structure, because only then you will have on complete view and you can really start working digitally and efficiently. This is where I-FourC came looking. We have integrated the I-FourC Virtual Archive into the REPD, internally we call this ‘the link to the scanned file.’ All paper-based information from the past is integrated in the R-EPD!

“In August 2014 we started all preparations for the trial implementations of the I-FourC Virtual Archive. Think of cleaning up our own historical archive. In October 2015 the R-EPD went live for the first time, so that our people could already work with it extensively. People were immediately very enthusiastic about the scanned file. There is no unnecessary search time anymore. However, there were still some wishes with respect to login in, because repeatedly login in is an issue with all these systems that practitioners currently have to all use together. Luckily, I-FourC developed a Single Sign On solution for this problem. By now we work with this solution, allowing practitioners to only have to log in to the R-EPD a single time and no longer for the scanned file. This saves an enormous amount of time!”

Step-by-step and well thought-out!

The revalidation EPD is implemented on all clinical and outpatient treatment departments at Rijndam Revalidatie. The implementation of the Revalidation EPD is a large operation. Not only in terms of IT, but also organisationally. This is a great change for the employees and has a large impact. Think of work methods and mutual alignment surrounding the patient, the processes and the means. The preparation period took more than a year for the full rolling out of the revalidation EPD. After this preparation the phased rolling out of the Revalidation EPD started in October 2014. We deliberately chose a phased rollout, so that the experiences along the way can be used in the implementation of all clinical and outpatient treatment departments at Rijndam. By now R-EPD has been rolled out for a large part of Rijndam. The outpatient clinics (children) and the outpatient clinics (children and adults) have been provided with R-EPD in 2015. In 2016 the hospital locations have their turn and the implementation project will be completed in September 2016.”

Say what you do, do what you say!

“The choice to join forces with I-FourC was not made lightly,” says Rajen Bhattoe. “The success of the project and the acceptation of the R-EPD depends on the way the paper past is unlocked in the R-EPD. We have deliberately made this important. Thus many demands were place on this! We invited four suppliers for a product presentation, where the integration was the most important criteria. I-FourC was very convincing. They were able to show that they could actually realise what they were saying. Because I-FourC had executed similar projects and collaborates with VIR, we knew we were at the right place. Additionally, the acceptation and user-friendliness were a requirement. We pulled people over the line because of the way digital files were presented. I-FourC offers a great combination of speed, functionality and familiarity.”


Our patients’ privacy is our number one priority. “Another aspect we looked at is information security. Think of certifications. I-FourC meets this requirement and that gives us confidence. Because of new developments in the market, take the duty to report data breaches that went into effect on January 1, 2016 and digitally ensuring our patient data, information security has an even higher priority.

Rijndam Revalidatie still has some ways to go, but is very enthusiastic about and satisfied with the steps that have been taken so far. This way a well thought-out and process-oriented change can be carried out. A change which ensures that Rijndam Revalidatie is ready for the future!
